What a wezwanie is

A wezwanie is an official request from the authority handling your case. In residence cases the voivodeship office uses it to ask you to fill formal gaps in the application, provide extra information or documents, or appear in person, for example to give fingerprints and a signature sample.

It is the most important letter you can receive while waiting for a decision, because it comes with a deadline and a stated consequence. The Lublin office, for example, says it sends these requests in the order applications arrived, so a wezwanie can arrive weeks or months after you filed.

The deadline and what happens if you miss it

Article 64 paragraph 2 of the Code of Administrative Procedure (KPA) says that when an application does not meet formal requirements, the authority must call on the applicant to remove the gaps within a set deadline of not less than seven days, warning that failure to do so means the application will be left unexamined.

Left unexamined (pozostawienie bez rozpoznania) ends the proceedings without a decision on the merits. In a residence case this matters twice over, because your legal stay during the proceedings depends on a correctly filed application. Count the deadline from the day the letter was delivered to you, not from the date printed on it.

Read the letter carefully

Check the case number, the list of what is requested, the deadline and how the office wants to receive it. Requests can mix formal items, such as a missing signature or photo, with evidence about the substance of your case, such as an updated employment contract or proof of accommodation.

Provide exactly what is listed. If a document cannot be obtained in time, for example a certificate from abroad, write to the office before the deadline explaining why and what you have already done. Silence is the worst option, because the office can only work with what is in the file.

How to send your response

Voivodeship office guidance for applications filed in MOS says that additional documents can be attached electronically when applying, sent later through e-Doręczenia, or delivered to the office on paper. Use the channel the wezwanie names, and keep the proof of sending or the official receipt.

Foreign-language documents normally need a sworn translation into Polish. Copies should be readable and complete, and originals may be requested for inspection, so keep them ready. Always quote the case number so the documents reach the right file.

Add a short cover letter

A cover letter, or pismo przewodnie, tells the office which request you are answering and lists every attachment. It makes the clerk's job easier and gives you a clear record of what you sent and when.

The Auranik letter generator creates a Polish cover letter as a PDF in your browser: it quotes the date of the request and the case number and numbers each attachment. Nothing you type is sent to Auranik's servers. Sign it, attach the documents and send everything together.

Other things to keep in mind

If your address changes during the case, notify the office at once. Under KPA Article 41 letters sent to your old address still count as delivered, so a wezwanie you never saw can still start a deadline running.

If you move to another voivodeship, your case can be transferred to the voivode now competent for your place of residence. Ask for that in writing, and keep answering requests from whichever office is handling the file at the time.

Next steps

Note the delivery date and the deadline in your calendar the day the letter arrives. Gather the listed documents, arrange translations, prepare a cover letter, and send everything early enough to have proof of delivery before the deadline.

If the request is unclear, or asks for something you cannot provide, Auranik can help you read it and organise your reply. Auranik is not a law firm, and only the voivode decides your case. Start here: Create a cover letter.
