The short answer: the online gateway to Polish consulates
e-Konsulat is the online system Polish embassies and consulates use to register visa applications and allocate appointments. On the system you choose a country and the Polish mission that serves your place of residence, then a service such as a national (D) visa in the right category. Missions explain on their gov.pl pages which of their services go through e-Konsulat.
There is no single national rulebook for appointment slots. The embassy in Pakistan, the embassy in Armenia and the embassy in India, for example, describe different categories, schedules and steps. Treat e-Konsulat as the tool and the embassy's own gov.pl page as the instructions, and read that page before you register.
Registering a national visa form, step by step
The Polish embassy in Armenia describes a typical flow for work visas. In the e-Konsulat menu you select the option to register a national visa form, choose the category, and fill in basic data plus the details of the document allowing you to work in Poland. If the data is correct, you receive an e-mail with a link to complete the full visa application.
All information, confirmations and links are sent automatically to the e-mail address you give. On the assigned date you go to the consular office, or the visa centre the post names, with the printed and signed application, the original of your work permit and the full set of documents. The embassy stresses that the data entered must match your documents exactly, including spelling.
Categories matter: pick the right one
Posts split national visas into categories, and registering in the wrong one can mean a wasted appointment. The embassy in Islamabad, for example, lists separate national visa categories for work, for bachelor's and master's studies, for PhD and exchange programmes, for courses and training, for collecting a residence card after a positive decision, and for other purposes such as family visits.
That embassy also states that visa applications are accepted only if the correct appointment is booked, and it separates Schengen (short-stay) applications from national visas for longer stays. Before registering, read the category list on your post's page and choose the one that matches the purpose in your supporting documents, such as your work permit or university admission.
How appointment dates are allocated
Many posts allocate work-visa appointments by electronic draw when there are more applicants than slots. The embassy in Armenia describes an automatic allocation based on the date the application was entered, run every Saturday at noon for work and other national visas, while study-visa dates there are released on an ongoing basis until the limit is reached.
Schedules differ between missions. The embassy in New Delhi states that work-visa slots are assigned by electronic draw and study-visa slots in order of registration, and its pages publish its own weekly timing. After a draw you are told whether you received a date or moved to the next round. Consular officers state that they cannot influence the draw.
New in 2026: video identity verification at some posts
The embassy in Armenia announced that from 22 April 2026 a new e-Konsulat tool for national work and other visas includes online video verification of the applicant's identity and identity document. The service is provided by an external company and costs EUR 9.05, according to the embassy, and applicants who use it get priority when appointment dates are allocated.
This is an example from one post, not a rule everywhere. Check whether your own embassy or consulate has introduced the same tool before paying for it, and use only the link inside e-Konsulat or on the embassy's gov.pl page. Do not pay third parties who claim the verification guarantees an appointment.
e-Konsulat, visa centres and extra forms
Some posts combine e-Konsulat with a visa application centre. The embassy in New Delhi, which also serves applicants from Bangladesh, Nepal, Sri Lanka and other countries, uses e-Konsulat for national work and study visas and VFS Global for Schengen and other national categories. Work and study applicants there must also complete an additional VFS form before attending the visa centre.
The same embassy states that a national visa is issued or refused within 15 days of submission, extendable to 30 days in justified cases, and that applications should be lodged no later than 15 calendar days before the trip. Our guide to the e-Konsulat national visa form for Bangladeshi applicants covers that route in detail.
| Mission | What it says | Example detail |
|---|---|---|
| Embassy in India (New Delhi) | e-Konsulat for national work and study visas; VFS for other categories | Work slots by electronic draw, study slots by registration order |
| Embassy in Armenia | New e-Konsulat tool for work and other visas from 22 April 2026 | Optional paid video verification (EUR 9.05) gets priority |
| Embassy in Pakistan | Applications only with an appointment in the correct e-Konsulat category | Separate categories for work, degree studies, PhD, courses and more |
Agents, fees and data accuracy
The embassies in New Delhi and Islamabad both state that they do not cooperate with travel agencies, employment agencies or other visa intermediaries, and New Delhi adds that using them brings no preferential treatment. Visa applications are completed by the applicant in e-Konsulat or the visa centre system, and appointment allocation does not depend on an outside company.
Fill in the form yourself, or with someone you trust sitting beside you, and keep your login e-mail under your control, because every confirmation goes there. Check that names, passport numbers and dates match your passport and supporting documents exactly. A mismatch noticed at the counter is far harder to fix than one caught before you submit the form.
Next steps
Find the gov.pl page of the Polish embassy or consulate that covers your place of residence and read its visa section, including the category list, schedule and any extra forms. Prepare your passport, permit or admission letter and insurance before registering, so the data you enter matches the documents you will bring.
