What the e-Konsulat registration is for
If you are applying from Bangladesh for a Polish national D visa for study or work, the registration stage can be confusing because the process involves more than one website. Current guidance from the Embassy of Poland in India states that national visa applications for work and study are registered through the e-Konsulat system. Bangladeshi applicants fall under the consular jurisdiction of the Embassy of the Republic of Poland in New Delhi.
The first screen you see may be a preliminary registration rather than the final visa application. Treat every entry as important. The information you submit should match your passport and supporting documents exactly, because inconsistencies can cause verification problems later. The exact layout of e-Konsulat can change, so always follow the labels shown on the live portal and the latest instructions published by the Polish authorities.
Prepare your information before opening the form
Before starting, keep your passport, admission or employment documents, intended travel dates, accommodation information, contact details and the details of the Polish university, employer or inviting institution beside you. Use an email address that you check regularly and can access immediately. Important confirmation and appointment messages are sent to the contact details entered during registration.
Do not guess spellings, dates, addresses or document numbers. Copy names exactly as they appear in the passport. If your university or employer has a legal name that differs from its everyday brand name, use the details shown on the official admission, employment or work-authorisation documents. The same principle applies to addresses and contact information.
How to complete the personal-data section
Enter your surname and given names exactly as printed in the machine-readable passport. Keep the same order and spelling. Check your date and place of birth, nationality, passport number, issue date and expiry date carefully before moving to the next section. A single digit entered incorrectly can create a mismatch between the registration and the documents you later submit.
For your email and phone number, use contact details that will remain active throughout the visa process. Do not use an agent’s email address as your primary contact simply for convenience. The Polish authorities explicitly state that applicants should complete their own application and that external intermediaries do not receive preferential access to appointments or visa decisions.
Purpose of travel, university or employer details
Choose the visa purpose that genuinely matches your case. A student should use the study route and enter university details consistently with the admission documents. A worker should use the work route and enter employer and employment-related information consistently with the documents supporting the intended work in Poland. Do not select a different category simply because you believe it may offer a faster appointment.
When the form asks for details of the host, university, employer, accommodation or destination in Poland, copy them from reliable documents rather than memory. Check postal codes, street names, company or university names and planned dates. If your accommodation is not yet permanent, use the information that genuinely reflects the arrangement supporting your application and keep the documentation that explains it.
What happens after the preliminary registration
For work-visa registrations, the current Embassy guidance describes a preliminary-registration process. After saving the preliminary application, the applicant receives an email request to confirm it. The confirmation must currently be completed within 48 hours. The submitted data is then checked. After positive verification, the applicant is given a further 48-hour period to complete the full visa application. Missing that window can cause the reservation to be cancelled and the data removed from the system.
For work visas, where there are more correctly verified applications than available appointments, dates are allocated through an electronic draw. For study visas, current official guidance states that appointment slots are allocated according to the order of registration. These procedures can be revised, so applicants should verify the latest Poland-in-India visa guidance before relying on any timetable shared in social-media groups.
Do not forget the additional VFS application
Registration in e-Konsulat is not the only online step for study and work applicants. Current Embassy guidance states that applicants travelling for study or employment must also complete an additional visa application form through the VFS system before attending the Visa Application Centre. This is a mandatory part of the submission process.
When an appointment is assigned, review all information again before completing the VFS form. Your name, passport details, purpose of stay, dates and supporting-document information should tell the same story across e-Konsulat, VFS and the documents you take to the appointment. Print the required forms and follow the current checklist for your visa category.
Common mistakes to avoid
The most common preventable problems are typing passport details incorrectly, using an inaccessible email account, missing confirmation deadlines, entering university or employer information differently from the supporting documents, choosing the wrong visa category, and assuming that a registration automatically means an appointment has been secured. Save confirmation messages and keep screenshots or PDFs of important registration stages for your own records.
Be cautious with anyone who claims they can guarantee a slot, influence the electronic draw or secure preferential treatment from the Embassy. The Embassy of Poland in India states that it does not cooperate with visa agents or travel agencies in the visa decision or appointment-allocation process. Professional assistance can help you organise documents and understand forms, but it cannot guarantee an appointment or visa approval.
A simple checklist before you press Submit
Before submitting, compare every name and passport number against the passport, verify the visa purpose, check the university or employer details, confirm your intended dates and accommodation information, and make sure the email address and phone number are correct. Read the declaration carefully and keep a copy of whatever the system allows you to save or print.
After submission, watch your inbox and spam folder closely. Follow confirmation instructions within the stated deadline, complete any required full application promptly, and then follow the appointment and VFS instructions you receive. Requirements, allocation schedules and online forms can change, so the official e-Konsulat, Embassy of Poland in India and VFS guidance should always take priority over screenshots or older tutorials. Auranik can assist with form preparation, document organisation and study-abroad application support, but visa decisions and appointment allocation remain solely with the relevant Polish authorities.
