The short answer: a core set plus documents specific to your case

Every Poland student visa application starts with the same core: the national visa application form, a valid passport, a photo, travel medical insurance and the consular fee. On top of that you prove the purpose of your stay with university documents, and you show that you can pay for your studies and your living costs.

There is no single checklist that applies to every student. The final list depends on the consulate where you apply, your nationality, where your previous education was completed, the programme you were admitted to and your financial situation. Use this guide to understand what each document is for, then follow your consulate's own list exactly.

Core documents almost every consulate asks for

These documents prove who you are, that you can travel and that you are insured. Consular checklists published on gov.pl describe them in similar terms, but the technical details, such as photo format or the number of copies, can differ between consulates.

Check the passport requirements first, because renewing a passport can take longer than any other step. If your passport will expire during your studies, consider renewing it before you apply: the visa is placed in your passport, and you will also need a valid passport for your later residence permit application in Poland.

Core documents for a national (D) visa for studies
DocumentWhat to check
Application formCompleted through e-Konsulat or the consulate's named provider, printed and signed if the consulate asks.
PassportConsular checklists commonly ask for a passport issued within the last 10 years, valid for at least three months after the visa ends, with at least two blank pages.
PhotoRecent colour photo in the format the consulate specifies (checklists commonly state 35 × 45 mm).
Travel medical insuranceCover of at least €30,000 for the whole stay, including medical transport, urgent treatment and emergency hospital care, from an insurer meeting the Polish conditions.
Consular fee€200 standard fee for a national visa application since 1 January 2026, unless a reduction or exemption applies.

Study documents: admission, tuition, language and recognition

The consul needs to see that you have a real place at a real institution and that you can follow the programme. Your university will tell you which documents it issues for visa purposes. If the programme is fee-paying, keep the proof of tuition payment that the university confirms.

The 2025 reform added two requirements that affect many applicants from outside the EU. First, admission generally requires proof of the language of instruction at B2 level or higher, using a document from a closed list set by regulation. Second, some first-cycle and long-cycle applicants need a written statement from NAWA confirming that their school certificate entitles them to apply.

Which language certificates count?

The Minister of Science's regulation of 30 July 2025 lists the documents that can confirm knowledge of Polish or a foreign language of instruction at B2 or higher. Because the list is closed, a test that was accepted in the past may no longer count. Check the regulation and your university's admission rules before you book an exam, and keep the original certificate for the consulate.

Who needs the NAWA statement?

NAWA issues written statements for secondary school certificates through its SYRENA system, free of charge, as a digitally signed PDF. According to NAWA, a statement is not needed for certificates from EU, OECD or EFTA countries, from countries with an international recognition agreement with Poland, or for IB and EB diplomas. If your certificate does not fall into these groups, apply early.

Financial evidence

You must show sufficient funds for your stay and your return journey. For students, the Polish entry regulation sets a minimum of PLN 1,270 for the first two months of the planned stay, but consulates assess whether your finances are credible for the whole period, including tuition and accommodation.

Typical evidence includes bank statements in your name, a sponsor's statements with proof of your relationship and the sponsor's income, scholarship award letters that state the amount and duration, and the university's confirmation of tuition already paid. Our guide to proof of funds for a Poland student visa explains the amounts and how residence permit rules differ.

Accommodation and supporting documents

Many consulates ask where you will live after arrival. A dormitory confirmation from the university or a rental agreement is usually stronger than a short hotel booking, but the accepted forms differ, so follow the consulate's list. Make sure the address and dates match the rest of your file.

Supporting documents explain your background: previous diplomas and transcripts, sometimes with an apostille or legalisation, translations where required, and any documents the consulate adds for your country. If you are under 18, check what the consulate requires from your parents or legal guardians before you book the appointment.

Why your checklist depends on nationality, consulate and circumstances

Some requirements apply only to certain applicants. The B2 language rule and the NAWA statement depend on your citizenship and on the country where your school certificate was issued. Scholarship holders may document funds differently from self-funded students, and students who are continuing studies may need different university documents from first-year students.

Consulates also differ in practice. Some accept English-language documents, while others ask for Polish translations. Some publish country-specific additions, such as local civil documents. If two sources disagree, rely on the current page of the consulate where you apply and, for academic documents, on your university's admissions office.

Final checklist before your appointment

Go through the list below a week before your appointment, not the night before. Missing items are easier to fix when there is still time to contact your university, bank or insurer.

  • Financial documents show sufficient, explainable funds in the right names.
  • Accommodation proof, translations and any legalised or apostilled documents are included.

Frequently asked questions

Do I need a B2 certificate if my programme is taught in English?

If the B2 rule applies to you, it concerns the language of instruction. For an English-taught programme that means proving English at B2 or higher with a document from the official list. Your university will confirm whether the rule applies to your citizenship and school certificate.

Is a hotel booking enough as proof of accommodation?

It depends on the consulate. Many applicants submit a dormitory confirmation or a rental agreement because it covers a longer period. Check the consulate's list and make sure the dates match your planned arrival.

Does the visa travel insurance replace health insurance in Poland?

No. The travel medical insurance is required for the visa. After arrival, a residence permit for studies requires health insurance under Polish rules or a policy covering treatment in Poland, so plan for longer-term cover as well.

Do my documents need to be translated into Polish?

Consulates set their own translation rules. Some accept English, others require Polish translations or sworn translations for certain documents. Follow the instructions of the consulate where you apply.

How recent should my bank statements be?

There is no single national rule for every consulate. Check how many months of history and how recent a statement your consulate expects, and make sure the balance can be explained by your income, savings or sponsor.
